Plain-English summaryLedger uses an AI provider selected per tenant in Settings to read your receipts and suggest categories. Available providers are Google Gemini, OpenAI ChatGPT, Mistral (all cloud), and Ollama (self-hosted, local). For cloud providers, the image is sent to that provider for processing; per their terms applicable to our usage, they do not train on it. The AI is helpful but can be wrong, always verify before filing.
Ledger uses AI providers selected per tenant in Settings → LLM. Available providers are Google Gemini (cloud), OpenAI ChatGPT (cloud), Mistral (cloud), and Ollama (self-hosted, local). Free tier defaults to Google Gemini; self-hosted deployments may use Ollama only. The active provider is shown in your Settings page and audit-logged on every AI-assisted transaction.
In the optional self-hosted version of Ledger, you can configure your own AI provider; we do not vet or support those configurations.
Cross-border transfer notice. Gemini is operated in the United States. By uploading a receipt, you consent to the transfer of that image and the matching context to Google in the US for processing under Google's Standard Contractual Clauses. If you do not consent, do not upload. You can still create transactions manually, with no AI involvement.
Per the Google Cloud / Gemini API terms applicable to our usage, Google does not use your prompts or images to train its models. We do not retain the raw API request or response beyond the processing window; only the structured output (extracted fields) is stored, in your Singapore-hosted tenant database.
We do not manually review AI output. Every extracted value is shown in the UI for you to verify or correct before it's persisted. You can also reject AI output entirely and enter a transaction manually.
The AI suggests; it does not decide. No filing, payment, or legally significant action is taken automatically based on AI output. You always have the final input before a record is committed or a filing is generated.
Important. AI-generated values are probabilistic and can be wrong, especially on non-standard receipts, foreign-currency invoices, and ambiguous categories (e.g. meals vs entertainment, GST vs zero-rated). Verify before filing. Ledger is not a substitute for a qualified accountant.
You can use Ledger entirely without AI by entering transactions manually and skipping the receipt upload. The Singapore tax features (categories, projects, GST tracking, filing prep) work fine without OCR.
Separately, we use Anthropic Claude internally for our QA test harness (visual regression checks against UI screenshots, not customer data) and developer tooling. No customer data is sent to Anthropic. We disclose this for transparency.
